Groups in Beam are categorised into two levels: group types and the groups that fall under these types. This guide will help you understand how to create and manage these group types and groups, facilitating better organisation within your team.

Group types: The basics

Group types are essentially categories that contain a collection of related subgroups.

Example: A common group type is "Departments". Within this group type, you might find specific department groups like Marketing, Sales, or HR.

"Departments" is a default group type in Beam. However, you can create custom group types based on your organisation's unique structure, such as "Locations", "Projects", or any other categorisation that suits your needs.

Understanding the impact of group types

Multiple memberships: Users can belong to multiple group types. For instance, a user can be part of the "Sales" group within the "Departments" group type and also be part of the "New York" group within the "Locations" group type.

Goal setting: This structure allows for flexible goal setting. You can create goals specific to different groups that belong to various group types.

Creating group types

Navigate to Workspace Settings: To create a new group type, go to your workspace settings and select the "Groups" under people.

Create Group Type: Click on "Create Group Type".

Name Your Group Type: Enter a name for your new group type (e.g., Locations, Departments) and click "Create".

Creating groups within group types

View Group Type: Once you have created a group type, click "View" within that group type to add groups.

Create Group: Click on "Create Group", enter the group's name, assign a group admin, select members to include in the group, and then click "Create".

Editing group types and groups

Editing a Group Type

Access Group Type Settings: Locate the group type you wish to edit. Click on the ellipsis (three dots) button associated with that group type.

Edit Group Type: From the options presented, select "Edit group type" to modify the group type name. Make the necessary changes and save your updates.

Deleting a Group Type

Considerations Before Deletion: Be cautious when deciding to delete a group type. Deleting a group type will remove all the groups contained within it.

Delete Group Type: If you choose to proceed, click on the ellipsis button next to the group type and select "Delete group type". Confirm your decision to delete the group type and all its associated groups.

Editing a Group

Open Group Type: Navigate to the group type that contains the group you want to edit.

Access Group Settings: Click on the ellipsis button next to the group and select "Edit group".

Make Changes: In the edit menu, you can change the group's name, the group admin, or modify the members within the group. After making your adjustments, save your changes.

Deleting a Group

Delete with Caution: Deleting a group will remove the group and affect all members within it. Consider the impact of this action before proceeding.

Proceed to Delete: To delete a group, click on the ellipsis button next to the group and select "Delete group". Confirm your decision to remove the group.

Note: When a group is deleted, members of that group will default to the "Departments" group type, ensuring they remain part of the organisational structure within Beam.
